13JUN20 / 1900z - The IFVARB FlightSimExpo Summit! @ KIAH | KHOU

Yes, it’s back!

Due to the unfortunate cancellation of FlightSim Expo 2020, we decided to hold a bonus summit this year to bring the Infinite Flight Community together virtually in Houston, Texas!

We are so excited to announce that the IFVARB’s (somewhat) regular VA bash is back and bigger than ever! With double the number of airports, triple the stands, and more events to show off what our VA/VO community has to offer! Given that the transient slots were a success last time, we will be bringing them back for this summit!

Event at a Glance

Server: Expert

Airport: KIAH and KHOU

Starting Time: 2020-06-13T19:00:00Z

Registration Deadline: 2020-06-10T06:00:00Z

NOTAMS: See Below.

Aircraft Movements Expected: 251

Stand Assignments: Please refer to this document for your stand assignments and departure/landing slots.

Feeder Airports

The following airports will be staffed by IFATC on the day of the event in addition to KIAH and KHOU.

  • KDFW
  • KMDW
  • KATL
  • KEWR

We do not assign stands at these airports, so they will be available on a first-come, first-served basis. Larger VAs may benefit from independently departing a different airport to better control arrival times. SID/STARs at these airports will be at ATC discretion. We expect all pilots to follow ATC instructions and demonstrate competent airmanship.

Slot/Stand Assignments

  • Please ensure that you are parking on the correct lines

There are different tabs on the bottom for various departures. All of the departures/arrivals are also consolidated into one sheet.

Please note that the stand code refers to the ICAO Aerodrome Reference Code of your stand. Please ensure that you select an aircraft that will fit.

Please time your arrivals/departures accordingly. We are averaging 120 movements per hour, so late arrivals may cause undue delays.

Ground/In-Air Procedures

Reference Documents: Integrated Plan Alpha | Integrated Plan Bravo | KIAH Ground Charts | KHOU Ground Charts

In-Air and ATC coordination portions of the integrated plans courtesy of @JoshFly8.

We have two published plans and will announce which plan is in use on the day of the event. We are currently favouring plan Alpha and will not deviate unless the prevailing conditions make that impossible.

We expect pilots to follow all SIDs and STARs to maintain separation. We recommend programming in an approach but ask that pilots be prepared for vectors in the approach phase.

The ground procedures attached are complex and intended to maintain efficient traffic flow. Please have the ground charts either memorized or handy to prevent gross navigational errors on the ground.

If you spot an error with any of the documentation, please DM @Danman for review.

If you have any questions, please don’t hesitate to reach out.

Spectators

Spectators are invited to spectate from the various maintenance and FBO aprons dotted throughout the airport. Please note that the United Maintenance Area is reserved for IFVARB Members.

If you have any questions or concerns about the procedures, please reach out to @IFVARB and @JoshFly8.

@Danman (myself) will be available through the IFC and the IFVARB Slack on the day of the event from 1500z onwards for any urgent inquiries.

See you there!

Looks fun, I hope I will be able to make it at this event after my VA gets certified, as it sure would be fun to join.

I’ll see if I can tag along with another VA I am in (such as Nonstop Virtual) if I’m not approved by then.

I’m in the same boat at you on this one.

Can event managers send the application or is it ONLY the CEOs

Event managers can send one in as long as we only receive one application so we don’t get confused.

Summit update - Virtual Expo Details!

After some consideration over how to carry out a Virtual Expo with exhibitors, we have settled on a solution that will allow VAs to hold static displays in-app and also interact with people interested in their VAs.

The “Expo” will take place immediately after the summit to provide a smooth transition. We will have areas within the airport demarcated so that VAs and VOs can show off their fleets for prospective pilots and other IFC members. We envision VAs and VOs having static displays in both KIAH and KHOU and prospective pilots and members will be in GA aircraft (Cessna 172/208/TBM) going between the static displays in the airports.

We are planning on having 25 booths available for set-up during the summit and an additional 25 booths available in the stands vacated after the summit. These stands will be available for VAs to set up static displays.

For interactions, we will set up a temporary slack workspace with separate channels for the different booths. Exhibiting VA/VOs will each receive a separate channel in which they can pin messages and interact with members!

For more details, see below:

Information for Participants

In terms of participating, we will set aside several stands that you can spawn into using GA aircraft. Your GA aircraft can taxi all over the airport and view the static displays. We will release detailed instructions on how to move around the airport at a later date, but expect to use common courtesy and common sense.

For interacting with VA representatives, we will host a slack workspace dedicated for the summit. Each VA will have its own channel to interact with you and tell you about their VAs!

To make moderating the slack possible, we will send out a mass invite to all participants to the slack on the day of the summit. So please use this Google Form to sign up using your IFC username and email so we can send you an invite on the day of!

https://forms.gle/qxgWhf6teHJP9tts9

Information for VAs

To sign up for a booth, please DM @IFVARB and @JoshFly8 on the IFC to sign up! We will let you know what location you have been allocated closer into the event.

Each VA will be allocated a channel on Slack where they will be able to pin messages and interact with participants. For the slack “booths” we will send the CEO and other staff members an invitation link so you can set up your channels. If you need help with getting things set up, please don’t hesitate to reach out.

Just saw there are some gates left to register for this event on Instagram but on here it says that the registration deadline was passed. Can more people sign up or no?🤔🙂

That was a placeholder, we are currently still taking registrations from VAs. Information for individuals will be coming up soon!

Should I DM both the IFVARB and Josh?
Or only one of them?

Please DM both of us. You should be able to add a second recipient to your DM. Thanks!

Summit Update

We are less than 2 days from the summit and we are so excited to welcome everyone to sunny Houston, Texas for our bonus summit! We are expecting 252 movements during the summit.

All of the information you need are in post #1, including slot and stand assignments, along with all of our procedures. Please note that we have two plans, Alpha and Bravo. We will let everyone know which plan we will adopt on the day of the event based on prevailing winds. We are currently favouring plan Alpha and will not deviate unless conditions exceed tailwind component limits for aircraft.

Published procedures include answers to the following questions:

  • What is my taxi route?
  • Which ATC frequency should I contact?
  • What should I do if I come across another aircraft in an intersection?
  • What should I pay particular attention to?

Please read all of the documents carefully as all of the information is essential to coordinating a successful summit. We expect competent airmanship from all participants, which includes preparing for your flight by reading all available NOTAMs.

Unfortunately, due to a lack of interest, we will not be conducting the Virtual Expo. We will explore options to bring it back for future summits.

As always, if anyone has any questions, please do not hesitate to reach out.

Housekeeping Items

Hi everyone, we just wanted to go over a few housekeeping items before we get into the thick of things.

  1. Pilots must use their assigned callsign, we use those callsigns to track attendance and good attendance for your VA means higher priority for desirable slots and stands for future summits.

  2. Every pilot should review the available information to ensure that they are well-versed in the procedures. If you have any questions about the procedures, ask.

  3. It’s going to be crowded, please make sure that you are using an aircraft that will fit into your stand. We have repeatedly mentioned that we do not honour aircraft requests and it is the pilot/VA’s responsibility to ensure you have brought an appropriate aircraft.

As noted above, @Danman will be available through the IFC and the IFVARB Slack beginning at 1500z tomorrow to respond to any day-of inquiries.

See you tomorrow!
Dan,
On behalf of the summit team
